How to merge Excel files without uploading them

By the Analistable team · Updated · 2 min read

To merge Excel files without sending them anywhere, use Excel itself (Power Query From Folder or Move or Copy) or a browser tool that processes files locally. You can check any online tool in a minute: open your browser's developer tools on the Network tab, drop a file, and see whether it is sent to a server.

Part of our guide: How to merge Excel files: every method compared

Why it matters

Spreadsheets often hold personal data — customer lists, payroll, patient or student records. Uploading them to a free web service means a third party processes that data. Under GDPR and similar laws, your organisation is responsible for that transfer, and many company policies forbid it. Even when a tool deletes files “after an hour”, the copy existed on someone else's server.

Methods that keep data local

Power Query steps are in combining Excel files into one spreadsheet.

How to check whether a tool uploads your file

  1. Open the tool in Chrome, Edge or Firefox.
  2. Press F12 (Cmd+Option+I on a Mac) and open the Network tab.
  3. Drop a test file into the tool.
  4. Look for a request whose size is roughly your file size, usually a POST or PUT. If there is one, the file was uploaded.
  5. A second check: load the page, switch off Wi-Fi, then try the tool. A browser-local tool keeps working offline.

Use a test file with no real data while you check.

How browser-local merging works

The page loads a spreadsheet parser (and, in Analistable's case, the DuckDB database compiled to WebAssembly) into your browser tab. When you drop a file, JavaScript reads it from your disk into memory, combines the rows, and builds the download in the tab. Closing the tab clears it. The Analistable combiner works this way, and our privacy policy describes exactly what is and isn't stored.

What still needs care

  • Browser extensions can read page content. Use a clean profile for sensitive work.
  • Downloads are saved in your Downloads folder like any file; store them according to your policy.
  • Signing in to a tool to save settings is different from uploading data. Read what is stored.

Frequently asked questions

Are online Excel mergers safe?
Many upload your files to their servers. That may be acceptable for non-sensitive data, but check before using them with personal or confidential information.
How can I tell if a website uploads my file?
Open developer tools, watch the Network tab while you add the file, and look for a request about the size of your file. Or test whether the tool still works offline.
Can I merge Excel files offline?
Yes. Excel's Power Query works offline on local folders, and a browser-local tool keeps working after the page has loaded even without a connection.
