Rent roll and tenant reconciliation for property managers

By the Analistable team · Updated · 2 min read

Property and real estate managers keep a rent roll per building, receive rent through the bank or an agent, and report occupancy and arrears across a portfolio. The core jobs are combining rent rolls and matching tenants to payments by unit or tenant reference. This page covers those jobs and the pages to start with.

Portfolio jobs that span several files

Typical property files and their keys
JobFilesJoin key
Arrears checkTenant list or rent roll + bank receiptsTenant reference or unit + amount
Portfolio rent rollOne rent roll per buildingStacked, keyed by building + unit

Agent statement checkLetting agent statement + rent rollUnit + month

The weak point is the payment reference. Tenants type their own, so a bank line might say "Flat 3B rent" rather than the tenant code. Expect to match on amount and date for some lines and review those by hand.

How Analistable helps

Load the rent rolls and the bank export and ask "tenants with rent due in September and no matching receipt". Analistable joins on the reference or amount you specify and lists the gaps. Ask the same question across all buildings once the rent rolls are combined.

Add a building column to each rent roll before combining, and keep the rent period as a proper date. Those two columns let you report arrears by building and by month without rebuilding the workbook each quarter.

Tenant names and bank details are personal data. Analistable processes the files in your browser and does not store rows on its servers, which keeps them out of another system you would need to account for.

Frequently asked questions

Can it work with rent rolls from different buildings that use different layouts?
Yes, if the key columns can be identified. Rename columns to match or describe them in your question, then stack the files.
Does it handle part payments?
Ask for payments summed per tenant per month and compared with rent due. Part payments then show as a remaining balance rather than a missing match.
Does it replace property management software?
No. It analyses exports from that software, your bank and agents. It does not hold leases or send tenant notices.
