Reconciling orders, payouts and stock: a guide for ecommerce sellers

By the Analistable team · Updated · 2 min read

Selling on a store and one or two marketplaces means orders in one export, payouts in another, fees and refunds in a third and stock in a fourth. The order ID and SKU are the keys that tie them together. Analistable loads those exports in your browser and answers questions like which orders were never paid out.

The multi-sheet jobs ecommerce sellers actually do

  • Orders vs payouts: match store orders to Stripe, PayPal or marketplace payouts to find missing or short payments.
  • Marketplace roll-up: stack sales from your store, Amazon and other marketplaces into one table by SKU and month.
  • Fees and refunds: match fee and refund reports to orders to see true margin per product.
  • Shipping costs: reconcile carrier invoices with orders to catch overcharges.
  • Stock vs sales: join stock counts to sales to see turnover and products to reorder or discount.

Payout reports often group many orders into one bank deposit. Reconcile orders to payout lines first, then payout totals to the bank, rather than orders straight to the bank.

How Analistable helps

Upload the exports and ask "which orders from September have no matching payout?" or "what was margin by SKU after fees and refunds?". Analistable writes read-only SQL across the files and shows the rows behind each answer. Customer and payment data stays in your browser and is not stored on our servers, and your source files are never changed.

Frequently asked questions

Does Analistable connect to Shopify or Amazon directly?
Not currently. Export the reports as CSV or Excel and load them; Google Sheets, OneDrive workbooks, GA4 and Search Console can be connected.
My order IDs look different in each export. Can I still match them?
Usually. Prefixes like # or leading zeros are common; ask Analistable to strip them in the join, or see the guide on fixing mismatched IDs.
Will it change my store or accounting data?
No. It only reads the files you load and runs read-only queries.
