How to use Merge & Center in Excel

Select the cells, then choose Home → Merge & Center (shortcut Alt, H, M, C). The cells become one cell with the text centred, and only the upper-left value is kept. Click it again to unmerge. For headings over a table, Center Across Selection (Ctrl+1 → Alignment → Horizontal) looks the same but keeps every cell separate, so sorting, filtering and copying keep working.

Using Merge & Center

  1. Type the heading in the left-most cell (for example A1).
  2. Select the cells to span, such as A1:F1.
  3. Click Home → Merge & Center, or press Alt, H, M, C.

The arrow next to the button offers Merge Across (merge each row separately), Merge Cells (without centring) and Unmerge Cells.

What it costs

Merged cells keep only one value, can't be sorted with neighbouring rows, make filter results confusing, and block pasting ranges of a different shape. Many teams ban them in data sheets for these reasons. Read merging cells in Excel for how to find and undo them.

The alternative: Center Across Selection

  1. Type the heading in A1 and select A1:F1.
  2. Press Ctrl+1 to open Format Cells.
  3. On Alignment, set Horizontal to Center Across Selection and click OK.

The heading appears centred over A–F, but B1:F1 are still separate, empty cells. Details and limits: Center Across Selection.

Undo merged cells safely

  1. Select the range and choose Home → Merge & Center → Unmerge Cells.
  2. The value stays in the top-left cell; the others become empty.
  3. To refill them, press F5 → Special → Blanks, type = and the up arrow, then Ctrl+Enter.
  4. Copy the range and Paste Special → Values to remove the formulas.

Merge & Center in Excel for the web and Mac

Both have the same button on the Home tab. On a Mac the Alt shortcut sequence isn't available, so use the ribbon or add the command to the Quick Access Toolbar.

When merging is fine

Merged cells are harmless in printed forms, invoices and dashboards that nobody sorts or filters. Avoid them inside data tables that will be sorted, filtered, copied or used by formulas.
